How to Review a Job Description With AI

Practical guides from the team building Staffmor.

To review a job description with AI, give it the description and a plain account of the work the role really involves, and ask it to find three things: duties too vague to act on, expectations that don't fit one job, and facts that are missing. It makes the document clearer. It does not decide who you hire, and it should not fill in pay or terms.

The example is a made-up studio hiring a project coordinator.

Describe the work first

The role keeps schedules, records client decisions and prepares handoffs. The draft description also asks the same person to own all website engineering and sales. Nobody has decided whether that is one role.

Give it the role brief, who the person reports to, the essential tasks and the current draft. Don't include applicant records. This is a review of a document.

The request

The request: "Review this project coordinator job description against the role brief below. Flag duties that are ambiguous, workload that doesn't fit one role and approved facts that are missing. Propose clearer wording tied to actual tasks. Do not choose candidates, invent a salary or state that the description is legally compliant."

What comes back

One rewrite: "Own everything needed to keep projects moving" becomes "Maintain the project schedule, record approved client decisions and prepare handoffs for the person doing the work."

  • Keep: scheduling, decision records, handoffs.
  • Clarify: who approves a change to what the client is getting.
  • Decide: whether website engineering belongs in this role or another.
  • Missing: the approved pay and how to apply.

The mistake to watch for

"Own everything" is the phrase to hunt for. It reads as ambition and works as a trap: the person you hire can never be finished, and you can never say what they are accountable for. The rewrite is less exciting and it describes a job someone can do.

The second mistake is letting a blank look like an error. A description with no salary looks unfinished, and a tidy draft will supply a range. Leave the gap marked until whoever sets pay fills it.

Before you post

Check the duties against the brief one more time, and ask someone who will work with the hire whether it is clear who owns what. Employment terms and legal wording are a separate review by the people responsible for them. A clear description also makes the interview easier, because you can only test for work you have named.
