How to Update Support Answers With AI

To update support answers with AI, start from one approved change and follow it to every place the old answer appears. Ask for each old sentence beside its replacement, with the date the new policy takes effect. The risk in a policy change is the copy you forgot, still telling customers the old thing.

The example is a made-up workshop that changed its equipment policy.

One change, three places

The old FAQ says participants bring their own tools. The new policy says tools are supplied and you bring only your bicycle. The old sentence also sits in an email template and in a reference sheet for staff.

Give it the new policy, the date it starts, the old answer and the places you want checked. Name the places. Don't point it at a whole customer folder and hope.

The request

The request: "Apply the equipment policy change below to the FAQ, the email template and the staff reference sheet. Show each original sentence and its replacement. Keep the effective date and the source beside each answer. List anywhere else the old wording might be used that you can't see. Do not publish anything or message customers."

What comes back

  • FAQ: "Bring your bicycle; workshop tools are supplied."
  • Email template: the old tools line replaced with the same sentence.
  • Staff sheet: the new policy and its date added, the old one kept as history.
  • Not checked: printed flyers, which it could not see.

The mistakes to watch for

"All customers have been notified." Nobody was notified. Three documents were edited. If customers who already booked were told to bring tools, telling them otherwise is a separate job that someone has to do.

Fixing the template and assuming the emails. Emails already sent still say the old thing. A template change only reaches the next email.

The list of places it couldn't see. That last line of the result is the one to act on. The flyer on the shop counter is where the old policy will survive.

Keep it anchored

Once the new answers are live, note the version and where they are published, and try one real customer question against them. If an old answer turns up again, fix where it is coming from. A second FAQ that contradicts the first is how this problem started.
