How to Write a Client Follow-Up Email With AI

To write a client follow-up email with AI, start from your notes of what was agreed, ask for a draft that restates the scope and names one next step, and check every commitment against the notes before you send. A good follow-up tells the client what you understood and what happens next. It adds nothing that wasn't said.

The example is a made-up design studio that just discussed a brochure with a client.

Start from the notes, not from memory

Write down what was agreed and what was left open. In this example:

  • Agreed: a three-page brochure using the client's approved photographs and copy.
  • Client's next step: send the photographs on Thursday.
  • Your next step: return a layout estimate after reviewing the files.
  • Still open: the final price and the delivery date. Nobody agreed to a discount.

Include any wording the client corrected during the call. Leave out notes about other clients.

The request

The request: "Using the meeting notes below, draft a follow-up email. Summarize the agreed scope, ask for Thursday's photographs and explain that the estimate follows our review of the files. Use a clear subject line and one next step. Mark anything uncertain. Do not promise a price or a delivery date, and do not send the email."

What comes back

Subject: Next step for your three-page brochure

Hi [client name],

Thanks for discussing the brochure with us. We understand the current scope is three pages using your approved photographs and copy.

Please send the photographs on Thursday as discussed. Once we have reviewed the files, we will return a layout estimate and flag any missing material. We have not set a final price or delivery date yet.

If the scope above needs correcting, please let us know before we prepare the estimate.

The commitment check

Read the draft against three lines from your notes: photographs due Thursday, estimate after file review, price and date still open. Anything beyond those three is a new promise.

The one to watch for is the helpful-sounding deadline. "We'll deliver next Friday" reads well and moves the deal along, and nobody agreed to it. If a reviewer looks at the draft, that is its whole job: compare each commitment with the notes. Making the offer more aggressive is not.

When the scope changes

If the client later asks for four pages, keep the original note and put the correction beside it. Ask for the next draft to start from the correction. If your notes are thin, ask the client one concrete question. Don't let a draft invent the answer.
