How to Write a Meeting Agenda With AI

To write a meeting agenda with AI, give it the decisions that are stuck and ask for one question, one decision owner and a time limit for each. A good agenda is a list of decisions to make. A list of topics to discuss is how a 25-minute meeting becomes an hour with nothing settled.

The example is a made-up workshop launch with 25 minutes on the calendar.

Start from what is blocked

  • The venue address is unconfirmed.
  • Two dates are possible and nobody has picked one.
  • Nobody owns the check of the booking email.

Give it the open decisions, their deadlines, the options and who can decide each one. That last part matters. If nobody in the room can approve spending, the meeting cannot approve a budget, and the agenda should not pretend it will.

The request

The request: "Create a 25-minute agenda from the three open decisions below. For each give the reading to do beforehand, the question to answer, who decides and the minutes allowed. Leave five minutes at the end to read back commitments. Flag any question that can't be decided with the information we have. Do not schedule or invite anyone."

What comes back

  • Before: read the venue note and the availability sheet for both dates.
  • 0 to 6 minutes: the owner confirms the address, or names who will verify it.
  • 6 to 14 minutes: pick the date, using instructor and venue availability.
  • 14 to 20 minutes: the booking coordinator takes the email check and agrees a deadline.
  • 20 to 25 minutes: read back the decisions, the owners and anything still open.

The mistakes to watch for

Extra topics. A drafted agenda tends to grow items like "marketing update" and "any other business," because agendas usually have them. Each one takes minutes from a decision. Cut anything that isn't one of your three.

Deciding without the facts. If the venue confirmation hasn't arrived by the meeting, the group cannot approve the address. The honest version of that item is "assign someone to verify it," and the agenda should carry that fallback.

Holding the meeting at all. If one person can answer all three questions, a short written note does the job, and nobody loses 25 minutes.

After the meeting

The agenda says what you meant to decide. It is not a record of what was decided. Afterward, turn the notes into action items, and keep the items nobody resolved visible for next time.
