How to Turn Meeting Notes Into Action Items With AI

To turn meeting notes into action items with AI, ask it to extract only what people committed to, with a named owner, a deadline and the passage each action came from. Where the notes name no owner or no date, the list should say so. A tidy list with invented owners is worse than a messy accurate one.

The example is a made-up launch meeting, held on a Monday.

The notes

  • "Priya will check the booking email by Friday."
  • "Sam will draft the announcement after the tools policy is approved."
  • "We need somebody to confirm the venue address."

Give it the notes, the meeting date, who attended and your current task list. The date matters: "by Friday" only means something if the list knows which Monday the meeting was.

The request

The request: "Extract the actions from the meeting notes below. For each, return the action, the named owner, the deadline, what it depends on and the sentence it came from. Work out 'Friday' from the meeting date only. If no owner or deadline was stated, write Unassigned or Not agreed. Flag anything that matches a task already on the list below. Do not create or send tasks."

What comes back

  • Check the booking email: Priya, due that Friday. Already on the task list, so marked as a match, not a new task.
  • Draft the announcement: Sam, deadline not agreed. Waits on the tools policy.
  • Confirm the venue address: unassigned, deadline not agreed.

And one question for you: who confirms the venue address, and by when?

The mistake to watch for

The third item is the test. Nobody took it, and a list that wants to look complete will hand it to whoever spoke last. If the draft assigns the venue address to Sam, send it back. An unowned task that everyone can see gets picked up. An unowned task with the wrong name on it gets dropped quietly.

The same goes for dates. "After the tools policy is approved" is a dependency. It is not a deadline, and it should not become one.

After the meeting

Have whoever ran the meeting approve the list and answer the open question. Keep three states apart: proposed, accepted and done. Pulling an action out of the notes does not mean anyone agreed to it. Keep a link to the original notes beside the list so a later disagreement can be settled from what was said.
