How to Write a Sales Proposal Brief With AI

Practical guides from the team building Staffmor.

To write a sales proposal brief with AI, give it your notes from the conversation and ask for an outline with six parts: the client's goal, what you will deliver, what they supply, what it depends on, what is excluded, and what is still undecided. The brief is what the proposal is written from. Anything not settled goes in as a question, never as a selling point.

The example is a made-up design studio and a client who wants an event brochure.

Write down what was actually discussed

  • A three-page brochure for an event.
  • The client supplies the photographs and the copy.
  • Layout work was discussed.
  • Price, delivery date and the number of revisions were not.

Keep the terms that are agreed apart from the ones a salesperson would like to offer. Leave other clients' documents out.

The request

The request: "Create a proposal brief from the discovery notes below. Include the client's goal, deliverables, what the client supplies, dependencies, exclusions and the terms that still need approval. Mark the price and the delivery date as undecided. Return an outline a writer can work from, plus the open questions. Do not send a proposal or invent contract terms."

What comes back

  • Goal: explain the event in a three-page brochure.
  • Deliverable: the brochure layout; confirm the final file format.
  • From the client: approved photographs and copy.
  • Depends on: a review of the supplied files before an estimate.
  • Proposed exclusions to confirm: photography, copywriting and printing.
  • Open: price, deadline, revisions, who signs off.

The mistake to watch for

A gap gets filled with generosity. Nobody discussed revisions, so a persuasive draft offers "unlimited revisions." It closes the deal and it is a term you never agreed to give. Whatever a draft adds to win the work, you are the one who delivers it.

The exclusions matter for the same reason. A client who assumed printing was included will be unhappy at the end. Saying what is out, in writing, at the start, costs you nothing.

From brief to proposal

Settle the open terms, then have the proposal written from the brief and check each commitment against it. Confirm you are allowed to show any past work you cite. Sending the proposal and agreeing terms are your steps.

Run it in your Staffmor office

Open the office on the computer running it with its Start Staffmor launcher. If you already have a paired web office, open it here. Paste this request and the source material into the conversation. Use your approved Codex connection, or ask your open Claude Code session to "Check Staffmor for work." A saved request is not a completed result. Review the answer or file when it comes back and reply with corrections. For a large deal, ask for a second pass that compares every commitment with your notes.

Staffmor writes the brief and can draft from it. Pricing, terms and sending stay with you. New to Staffmor? Set up your office with Codex or Claude Code and an empty folder. Use your own supported AI account and approve the download, office activation and local folder/network access during setup. Claude Code pickup is manual; keep that local session open.
